Skreen.ai is a trading name of Skreen Ltd (Company No. 17292166), a company registered in England and Wales. Our registered office is at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ. Alethia Talent Limited (Company No. 16118423) is a subsidiary of Skreen Ltd.

We are the data controller for the personal data processed through our platform.

2. Information We Collect

We collect and process the following categories of personal data:

2.1 Information You Provide

Account Information:
Name, email address, organisation name, job title, and password when you register for an account.

CVs and Candidate Data:
Curriculum vitae, cover letters, work history, education, skills, and other information contained in documents you upload for screening.

Phone Number:
If you provide a mobile phone number — for example, as a candidate applying for a role, or as a recruiter using our platform — we use it to contact you about your application or account. This may include SMS text messages where you have separately opted in to receive them (for example, by answering "Yes" to the SMS-consent question on a job application, or by texting "YES" to our messaging number) or, for numbers registered in the United Kingdom, as service messages tied to your active job application sent by default. See Section 5 (Text Messaging (SMS) Communications) below for the full rules by country, including how to opt out.

Video Interview Recordings:
Audio and video recordings of candidate interviews conducted through our platform.

Job Descriptions:
Details about roles you are recruiting for, including requirements and qualifications.

Google Account Data (if you choose to integrate Google services):
If you connect your Google account to Skreen.ai, we may access limited Google user data as described in Section 6 below.

Payment Information:
Billing details processed through our payment provider, Stripe. We do not store full payment card details.

Communications:
Any messages or enquiries you send to our support team.

2.2 Information Collected Automatically

Usage Data:
Information about how you interact with our platform, including pages visited, features used, and time spent.

Device Information:
Browser type, operating system, device identifiers, and IP address.

Cookies and Similar Technologies:
Please see our Cookie Policy for more information.

3. Legal Basis for Processing

Under UK GDPR, we process your personal data on the following legal bases:

Contract:
Processing necessary to perform our contract with you (e.g., providing the Skreen.ai service to your organisation).

Legitimate Interests:
Processing necessary for our legitimate interests, such as improving our services, preventing fraud, and ensuring security, where these interests are not overridden by your rights.

Legal Obligation:
Processing necessary to comply with legal requirements.

Consent:
Where you have given explicit consent to processing for specific purposes, including where required for Google account integrations or, in opt-in markets such as the United States and Canada, SMS text message communications. UK service SMS messages tied to an active job application rely on legitimate interests rather than consent — see Section 5.

4. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our CV screening and interview services
  • Process CVs using artificial intelligence to generate scores, summaries, and insights
  • Conduct and analyse AI-powered candidate interviews
  • Generate automated assessments and recommendations based on candidate data
  • Process payments and manage subscriptions
  • Send service-related communications and technical notices, including by email and by SMS text message — where you have consented or, for UK-registered numbers, as default service messages tied to your active job application (see Section 5)
  • Respond to your enquiries and provide customer support
  • Monitor and analyse usage patterns to improve our platform
  • Detect, prevent, and address technical issues and security threats
  • Comply with legal obligations

If you connect Google services, we also use Google data strictly as described in Section 6.

5. Text Messaging (SMS) Communications

If you are a candidate applying for a role, Skreen.ai (on behalf of the employer) may send you SMS text messages about your application status and interview scheduling. If your mobile number is registered in the United States or Canada, these messages are opt-in only: we will not send them unless you have explicitly agreed to receive them — either by answering "Yes" to the optional SMS-consent question on your job application (for example, on LinkedIn), or by texting "YES" to our messaging number. Simply providing a mobile number on your application is not, by itself, consent to receive SMS, and the SMS-consent question is never required to apply.

This opt-in requirement reflects US and Canadian text-messaging regulations and does not apply outside the US and Canada. If your mobile number is registered in the United Kingdom, we may send you these same categories of SMS messages by default, without a separate opt-in step, because they are service messages tied to your active job application rather than marketing. Outside the US, Canada, and the UK, no default applies and we will not send these messages unless you have separately opted in. You can still stop receiving them at any time, as described under Opt-Out below, or by telling your recruiter you'd prefer not to receive texts.

Consent:
Where you have opted in, you consent to receive these SMS messages from us and the employer. For UK-registered numbers, default messages are not sent on the basis of a separate opt-in consent — they are service communications relating to your active job application, and you can decline or stop them at any time as described under Opt-Out below. Consent is never a condition of applying for any job or of using our services; where available, you may request that these communications instead be sent by email.

Message Frequency:
Message frequency varies based on your application or account activity. You should typically expect to receive between 1 and 10 messages during an active hiring process (for example, interview scheduling confirmations and reminders). Message and data rates may apply.

Opt-Out:
You can opt out of SMS messages at any time by replying STOP to any message you receive from us. You will receive a one-time confirmation that you have been unsubscribed, and we will send no further messages. Only you can opt back in — by replying START or UNSTOP to the same number. We do not, and cannot, re-enable SMS messages to a number that has replied STOP on your behalf.

Help:
For help at any time, reply HELP to any message you receive from us, or contact us at support@skreen.ai.

No mobile information — including SMS opt-in consent or phone numbers collected for text messaging opt-in — will be shared with third parties or affiliates for marketing or promotional purposes. This information is used solely to provide the SMS communications described in this section and is otherwise handled in accordance with the rest of this Privacy Policy.

Carriers (including mobile network operators) are not liable for delayed or undelivered messages.

6. Google API Services (Gmail, Google Calendar & Google Meet)

Skreen.ai offers optional integrations with Google services. If you choose to connect your Google account via OAuth, we may request access to specific Google API scopes.

6.1 Gmail API (Send-Only Access)

If authorised by you, Skreen.ai may request permission to:

  • Send email messages on your behalf using the Gmail API

We do not access, read, analyse, or store your Gmail inbox contents except where strictly necessary to perform a user-initiated send action that you explicitly request.

We do not use Gmail data for advertising, profiling, or marketing purposes.

6.2 Google Calendar API (Create, Read, Update, Delete)

If authorised by you, Skreen.ai may request permission to:

  • Create calendar events
  • Read calendar events
  • Update calendar events
  • Delete calendar events

This enables scheduling interviews, managing recruitment timelines, and related functionality within the platform.

Calendar data is accessed and processed only to provide the features you explicitly use.

6.3 Google Meet API (Conference Records & Transcripts)

If authorised by you, Skreen.ai may request permission to:

  • Enable transcription for Google Meet interview meetings scheduled through Skreen.ai
  • Read the conference records of those meetings, including attendance information and transcript entries

This access is limited to meetings created by Skreen.ai on your behalf as part of its interview scheduling features. We use this data to show the recruiting organisation the outcome of an interview it booked — for example whether the meeting took place, who attended, the meeting transcript, and assessments derived from the transcript, such as a summary, an evaluation of the candidate's answers against the role's requirements, or suggested questions for a subsequent interview round. Participants see Google's standard in-meeting notice when transcription is active, and candidates are informed that interviews may be transcribed when booking.

To generate these derived assessments, transcript text is processed by the third-party AI service providers described in Section 8, acting as our processors under API terms that prohibit use of the data to train their models. Transcripts and derived assessments are stored securely with organisation-scoped access controls and are subject to the retention rules in Section 10.

6.4 Google API Services User Data Policy Compliance

Skreen.ai's use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

  • We only use Google user data to provide user-facing features that are visible and directly requested by the user.
  • We do not use Google user data to serve advertisements.
  • We do not sell Google user data.
  • We do not transfer Google user data to third parties except: with your consent, to provide or improve the user-facing features you have requested — including processing by the AI service providers described in Sections 6.3 and 8, under API terms that prohibit training on the data; for security purposes; or to comply with applicable laws and regulations.
  • We do not use Google user data to train generalised artificial intelligence or machine learning models.
  • We do not allow humans to read Google user data unless:
    • We have your explicit consent,
    • It is necessary for security or abuse investigation, or
    • It is required by law.

You may revoke Skreen.ai's access to your Google account at any time via: https://myaccount.google.com/permissions

Upon revocation, we will delete stored OAuth tokens and cease further access.

7. Automated Decision-Making and AI Processing

Important: Skreen.ai uses artificial intelligence and machine learning to analyse CVs, conduct interviews, and generate candidate assessments. This includes:

CV Scoring:
Automated analysis of CVs against job requirements to generate compatibility scores.

Interview Analysis:
AI-powered analysis of interview responses to provide insights and summaries.

Candidate Recommendations:
Automated suggestions based on the analysis of candidate data.

Human Oversight: Our AI-generated outputs are intended as decision-support tools only. All final hiring decisions must be made by humans. Our platform is designed to assist, not replace, human judgement in recruitment processes.

You have the right to request human review of any automated decision that significantly affects you. Please contact us at privacy@skreen.ai to exercise this right.

8. Data Sharing and Third Parties

We may share your personal data with:

  • Cloud Infrastructure Providers: Secure hosting and data storage providers.
  • AI Service Providers: Third-party AI services powering CV analysis and interview features (including the meeting-transcript assessments described in Section 6.3), acting as our processors under strict data processing agreements and API terms that prohibit use of our data to train their models.
  • Payment Processors: Stripe processes payment transactions on our behalf.
  • Communications Providers: Providers who deliver our email and SMS text message communications on our behalf.
  • Analytics Providers: To understand platform usage and improve performance.
  • Professional Advisers: Lawyers, accountants, auditors where necessary.
  • Law Enforcement: Where required by law or to protect our rights.

We do not sell your personal data.

Google user data is never shared for advertising purposes. As set out in Section 5 above, mobile information collected for SMS opt-in and consent is never shared with third parties or affiliates for marketing or promotional purposes.

9. International Data Transfers

Your personal data may be transferred to, and processed in, countries outside the United Kingdom.

Where we transfer data outside the UK, we ensure appropriate safeguards are in place, including:

  • Transfers to countries with an adequacy decision from the UK Government
  • Standard Contractual Clauses approved by the UK Information Commissioner's Office
  • Other legally approved transfer mechanisms

10. Data Retention

We retain personal data for as long as necessary to fulfil the purposes for which it was collected:

Account Data:
Retained while your account is active and for up to 2 years after account closure.

CV and Candidate Data:
Retained in accordance with your organisation's data retention settings, or deleted upon request.

Interview Recordings:
Retained for the period specified in your subscription settings, typically up to 12 months.

Payment Records:
Retained for 7 years for tax and accounting purposes.

Usage Logs:
Retained for up to 24 months for security and analytics purposes.

Google OAuth Tokens:
Stored securely and retained only while your Google integration remains active. Deleted upon revocation or account deletion.

Meeting Transcripts & Derived Assessments:
Retained while the associated candidate application exists. Deleted automatically when that application is deleted, or earlier on request from the recruiting organisation.

SMS Opt-In/Opt-Out Records:
We retain a record of your SMS consent and opt-out status for as long as necessary to comply with applicable messaging regulations and to honour your preferences.

Under UK data protection law, you have the following rights:

12. Data Security

We implement appropriate technical and organisational measures to protect your personal data, including:

  • Encryption of data in transit and at rest
  • Secure access controls and authentication
  • Secure storage of OAuth tokens
  • Regular security assessments and monitoring
  • Staff training on data protection

However, no system is completely secure. If you believe your account has been compromised, please contact us immediately.

13. Children's Privacy

Skreen.ai is not intended for use by individuals under the age of 18. We do not knowingly collect personal data from children. If you believe we have inadvertently collected data from a child, please contact us immediately.

14. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on our website and, where appropriate, by email.

The "Last updated" date at the top of this policy indicates when it was last revised.
